About the Program

Category: County Administration and Management (Best in Category)

Year: 2016

Montgomery County’s Department of General Services (DGS), administers and manages the Printing and Mail program, providing in-house printing services for approximately 10,000 County employees. In April 2014, the County entered into a new five year multi-functional printer (MFP) contract to support the County Executive’s initiative to reduce printing and paper costs by 20%. At that time, 391 old copiers in 150 locations were using outdated technology. We now have over 500 MFPs in use. These machines epitomize an innovative way of doing business in Montgomery County. With “Follow-You” print technology, employees swipe their employee badge at any copier in the County and access their print jobs. In addition to providing increased functionality and security for employees, data from the first nineteen months of implementation demonstrates that the program achieved cost savings of $210,562 from the number of scanned, deleted, and expired jobs that were not printed. This translates to an environmental impact of 51 trees, 2 million gallons of water, and 50,000 pounds of CO2 saved. Additional savings were realized by eliminating the need for personal printers and fax machines.
