Category: Information Technology (Best in Category)

Year: 2021

Protecting the community from the Coronavirus has been a top priority for Chesterfield for the last year. Chesterfield created a technology system to manage and report on the administration of COVID-19 vaccines in the community. The Vaccine Administration and Reporting System (VARS) is an end to end cloud based paperless technology solution that begins with acquisition of resident contact information from the Virginia Department of Health pre-registration system, and ends with the automatic entry of immunization records into the Virginia Immunization Information System (VIIS). Residents can complete paperwork online from their homes. Scheduling is accomplished using Microsoft Bookings, or via county call center. Clinic managers have reports on scheduled appointments for the day and can support paperless on-site registration if needed. Use of the system has resulted in a very high level of service for the residents, with virtually no wait to enter the clinic, and 18.6 minutes total time spent in the clinic itself on average. The use of VARS has allowed the county to efficiently vaccinate through phase 1a and 1b, protecting the most vulnerable population. The county is second only to Fairfax County in the number of first doses of vaccine delivered.
