Email Encryption is an 8-minute animated micro-learning that illustrates the “how, what, when, where, and why” of email encryption to ensure protection of Personally Identifiable Information (PII), Protected Health Information (PHI), and ensures community trust/confidentiality. The training also connects participants with the Help Me kNow Hub so they can further expand their knowledge on this topic and/or other technical topics. The Hub is an online resource of training videos, self-paced learning course and instructor-led classes for common Microsoft software applications. The purpose of the training is to decrease data breaches, increase knowledge about email encryption in relation to employee job roles, and increase the usage of digital workforce tools. As a hybrid covered entity, many of the Health and Human Services Agency (HHSA) programs are required to comply with HIPAA privacy and security requirements to safeguard PHI including when in transit and at rest. The outcomes of the training were a 68% decrease (continuing) in the email data breach, an increase in email encryption, and an increase of new users for the Help Me kNow Hub. This micro-learning is a collaboration between HHSA’s Compliance Office and Human Resources The Knowledge Center with support from IT Services Digital Workplace team.
