Public Health Services (PHS) Administration identified a need to improve the tracking and monitoring of policies and procedures across PHS branches. We found that the system we used to manage our policies and procedures was time consuming, slow and costly. We needed a centralized policy and procedure system that would be easily accessible, would improve document organization, cut costs and increase productivity and compliance. Navex Global’s Policy Tech management software solution allowed automated storing, authoring, approving and distribution of policies and procedures across PHS branches and Agency programs. Policy Tech provides a centralized policy system that is easily accessible for employees, monitors readership compliance, and allows our programs to strive for continuous improvement, mitigate risk and maintain a high level of operational excellence. The goal of Policy Tech is to: increase productivity and efficiency; enhance consistency and centralization of policies and procedures; provide instant access and timely updates to all documents; eliminate copying, distributing, and storage of documents; expedite the policy review and approval process; and link regulatory guidelines to policies and procedures. The implementation of Policy Tech software is worthy of the NACo Award because it has modernized Public Health Services’ policy and procedure business process and increased services to its employees by filling a gap identified by the Public Health Accreditation Board to improve the tracking and monitoring of our policies and procedures; enhancing our collaboration and coordination efforts across multiple programs regarding the development, review and approval of policy and procedures and providing PHS branches with the ability to monitor readership compliance and understanding of policies.
