The Clerk of the Superior Court (Clerk’s Office) in Maricopa County is responsible for accepting and processing exhibits related to court cases. Exhibits are articles of tangible evidence introduced at trial such as photographs, letters, and other documents. Exhibits have traditionally been accepted as physical copies via the Clerk’s Office filing counters. With the onset of the COVID-19 pandemic, the Clerk’s Office set out to limit in person contact as much as possible and developed an Online Exhibits Portal solution for the acceptance and processing of exhibit files. The Online Exhibit Portal used a combination of new and existing software tools compatible with the Clerk’s Electronic Document Management System including automated workflow, electronic forms, and an integrated cloud-based file sharing service to create the Online Exhibits Portal. The project was completed in record time, just over 30 days from inception to go-live, resulting in a user-friendly solution that helped ensure exhibit files are properly submitted and routed to the correct Judicial Officers in a secure and consistent manner.
