    Senior Administrative Assistant

    Under the direction of the Special Assistant to the CEO and Liaison to the Board, this position will perform a wide range of administrative and office support duties for the Executive Department. Extensive software skills, internet research abilities and strong communication skills are required.

    3. Desire to manage projects to completion

    Primary Duties and Responsibilities

    • Assist the Special Assistant to the CEO and Liaison to the Board with daily organizational tasks that support and advance the work of the CEO and Chief of Staff (COS)
    • Arrange and schedule meetings and appointments, and attend to take detailed minutes
    • Draft Executive-level meeting agendas to assist the CEO and COS
    • Assist with visual presentations for the CEO and COS (PowerPoint, Excel)
    • Assist with large-scale external meetings (Board, Executive Committee, Regional, etc.) with logistics, technical support and content; maintain and regularly update various contact lists and databases
    • Assist with preparing meeting agendas and Board materials for distribution
    • Assist with onboarding new Board Members (comprised largely of elected county officials) and with offboarding departing Members 
    • Prepare communications – such as emails, memos, reports and other correspondence
    • Coordinate with vendors and process invoices
    • Procure gift/items for NACo Board and NACo staff
    • Review and optimize office policies and procedures such as documentation & filing systems
    • Maintain electronic and hard copy filing system
    • Book travel arrangements and maintain travel calendars
    • Submit and reconcile expense reports
    • Answer and direct phone calls / greet visitors
    • Sort and distribute incoming mail
    • Other duties as assigned

    Qualifications

    • Bachelor’s degree
    • Five years of proven work experience with senior management/leadership
    • Proficient in Microsoft Office including MS Teams, Power Point, Excel, Word and Outlook
    • Ability to meet deadlines and manage multiple projects
    • Strong organizational skills and attention to detail required
    • Strong verbal and written communications skills
    • Ability to work with high-level officials
    • Ability to work well under pressure
    • Knowledge of administrative procedures and systems
    • Travel required at least three times per year

    • Ability to provide concierge-level customer service
    • Comfortable with more than one person assigning work
    • Ability to accurately follow instructions
    • Strong communication skills – written and verbal
